Meeting Secretary (part time)

 

Position Summary: The Green Street Monthly Meeting Secretary maintains a presence at the Meetinghouse for 20 hours per week, performing business operations, communications and property management. The goal of the Secretary is to facilitate the organizational integrity of the Meeting as a whole.

 

The Meeting Secretary also maintains a gracious demeanor while working with individuals in the Meeting and presents a Friendly reception to the outside world, with special attention to the neighboring community and representatives of Greene Street Friends School.

 

Specific Duties:

Business Operations

Serves as on-site representative of the Meeting during office hours; responds to questions and/or directs messages to the responsible Meeting member. Maintains Meeting correspondence,

up-to-date member directory and listserv. Orders supplies, tracks expenses, performs accounts payable and distributes the budget appeal. Collects and maintains Meeting records and archives.

 

Communications

Updates the Meeting’s website and maintains a calendar of events. Schedules the use of the Meetinghouse for Meeting members and outside groups and coordinates the use of the Meetinghouse with a representative of the School to ensure conflicting events have not been scheduled. Resolves conflicting demands for Meetinghouse use with the assistance of the Supervisory Committee when necessary.

 

Sends instructions to individuals signed up for hospitality, and helps with coordination of other volunteers and events. Creates, edits and distributes the Meeting’s newsletter. Assists with designing flyers and managing email lists to better disseminate announcements.

 

Property Management

Ensures an orderly appearance of the Meetinghouse, including care of the Social Room, Library and First Day School areas. Contacts the Property Committee about problems with the facility and grounds. Arranges for immediate emergency repairs as needed in consultation with the Clerk of the Property Committee.

 

Orients members on using the Meetinghouse responsibly. This may require showing members how to open / close the Meetinghouse, how to coordinate hospitality, and other activities. Arranges for the Meetinghouse to be opened and closed for events. Keeps track of keyholders to the Meetinghouse.

 

Performs other duties as assigned by Supervisory Committee.

 
Qualifications:

Demonstrates administrative skills and organizational ability. Has experience in office management, calendar scheduling and performing website updates. Secretary should possess computer skills including word processing, email, and the ability to do basic hardware troubleshooting. Familiarity with Apple operating systems and experience with Quickbooks is preferred.

 

Must quickly become proficient in answering questions regarding Quakers, Green Street Monthly Meeting, and its activities. A background with Quakers and/or active involvement in the Quaker community is highly desirable.

 

Has a positive attitude, outgoing personality, experience working with volunteers and the ability to work independently with little supervision.

 

Compensation:

The hourly rate is $20 per hour.
